1. Function Information
Job title: Legal Assistant
Level of education: Higher vocational education (HBO) or comparable education and experience
Hours per week: 20 – 24 hrs.
Salary scale: Scale X of the ‘Government Salary Scales’ (salary will be based on hours and relevant experience)

2. Organization
Assignments are executed within the Bureau. The main objective of the Bureau is to facilitate the registration of trademarks, both nationally and internationally. The Bureau is an Independent Governing Body, and must obtain, manage, and account for its own financial resources. The work of the Bureau is carried out at a high standard and in a highly legal environment. Information at the Bureau is privacy sensitive, and all staff members must adhere to the confidentiality thereof. Acting with integrity and ethics is standard practice. In addition to the tasks listed in the job description, additional tasks may be assigned.
3. Tasks
Administrative
- Collects requested information for the Bureau (e.g.: phone numbers, websites, data, etc.);
- Enters data in (computerized) systems upon request of the Bureau;
- Provides standard information about the assigned tasks to the Bureau;
- Archives documents or data in the Bureau's archives;
- Manages office supply inventory and informs the assigned co-worker when supplies need to be ordered;
- Assists with project activities and document collection, in consultation with the assigned co-worker member;
- Actively participates in a paper-free office by scanning documents and placing them in digital files;
- Carry out office errands (e.g., "bank run," pickup and delivery of mail etc.);
- Prepares the conference room for meetings and events;
- As needed or requested answer office phones and write messages for the relevant co-worker.
Communication and Intellectual Property Awareness (CIPA)
- Assist in target grouped or themed information campaigns or projects to increase social awareness of Intellectual Property rights;
- Compiles information folders (workshops and seminars etc.);
- Assist with IP related research for the Bureau’s social media posts.
4. Accountability
- Accountable to the Director and staff of the Bureau.
5. Knowledge and skills
- Knowledge of secretarial duties;
- (Some) knowledge of operating a telephone system and office appliances (such as a scanner and a printer)
- Customer service skills as it relates to assisting callers and visitors;
- (Some) knowledge and/or skill in adequately identifying the right approach to assist the caller or visitor (refer, connect or take messages);
- Drafting of simple and understandable notes/letters/emails etc.;
- Good oral and written communication skills in English; Knowledge of the Dutch language is a plus;

7. Terms of employment
The terms and conditions of employment shall apply as set forth in the employment regulations and salary as set forth in the function book. The scale assigned to the position is found in the employment regulations of the Bureau approved on October 21st, 2016 by the Supervisory Board and ratified by the Minister on December 16th, 2020.
